What to include on a purchase order

A useful purchase order commonly identifies the buyer, vendor, PO number, order date, ordered goods or services, quantities, prices, totals and any delivery or payment terms that matter. Requirements vary by business, supplier, jurisdiction and agreement, so review the document before issuing it.

Buyer vs vendor / supplier

The buyer is the business placing the order and issuing the PO. The vendor or supplier is the party expected to provide the goods or services. This direction matters because a purchase order is not a supplier-issued invoice.

Purchase order vs quote vs invoice vs receipt

A quote proposes pricing, a purchase order communicates the buyer's order, an invoice requests payment after the supplier bills the buyer, and a receipt records payment after it has been received.

If pricing is still being proposed, use Quote Generator. If the supplier needs to request payment, use Invoice Generator. After payment, use Receipt Generator.

How PO totals are calculated

Line amount → subtotal → discount → tax → Purchase order total

Each line amount is rounded to the selected currency's minor unit before the subtotal is added. An optional purchase-order-level discount is applied before tax. Tax is calculated only from the rate you enter.

PO numbers and numbering responsibility

You enter the PO number. Purchase Order Generator does not auto-number, store a sequence or guarantee uniqueness because it keeps no purchase-order history. If your business uses sequential PO numbers, maintain that sequence in your own records or procurement system.

Ship-to address and expected delivery

Ship-to information is optional and may differ from the buyer's main address. Expected delivery is also optional and records the date you intend to communicate to the vendor; the app does not track shipment or receiving status.

Payment terms, delivery instructions and notes

Use these fields for the terms and operational instructions that belong on the order. They are plain document fields: the app does not negotiate, approve, accept or enforce those terms.

Discount and tax behavior

Discount is applied before tax. A fixed discount cannot exceed the subtotal. The app does not determine whether a purchase is taxable or choose a jurisdiction-specific tax rate.

Shipping or freight charges

Purchase Order Generator does not include a separate numeric freight adjustment. If freight must affect the monetary total, add it as an explicit line item so its amount and tax treatment are visible rather than silently inferred.

Print / Save as PDF

Print / Save as PDF opens the browser's print workflow. If your browser or operating system offers a Save as PDF destination, choose it there. The app does not claim to generate a standalone PDF download directly.

Privacy and browser-local processing

Your purchase-order fields stay in active page memory used by the Purchase Order Generator runtime. An optional PNG, JPEG or WebP logo is read locally for the current document. The app does not persist purchase orders to browser storage and does not upload purchase-order content or logo files.

Legal and procurement limitations

Purchase Order Generator is a document tool, not procurement software. It does not provide approval workflow, inventory, vendor management, receiving, three-way matching, tax determination, contract advice or a guarantee that a purchase order is accepted or legally binding.

How do I create a purchase order online?

Enter the buyer, vendor, PO number, line items and any delivery or terms information, review the preview, then use Print / Save as PDF.

What should a purchase order include?

Include enough information to identify the buyer, vendor, order, items or services, quantities, prices, totals and important delivery or payment terms.

Who creates a purchase order: buyer or supplier?

The buyer creates and issues the purchase order to the vendor or supplier.

What is the difference between a purchase order and an invoice?

A purchase order communicates the buyer's order. An invoice is a separate payment request issued by the supplier.

Can I create a PO for services?

Yes. Use clear service descriptions, quantities when meaningful, unit prices and the terms that belong on the order.

Can I print or save the PO as PDF?

Yes. The app opens the browser print workflow. Choose a printer or Save as PDF when your browser or operating system offers that destination.

Does the app upload my logo or PO data?

No. The active document stays in page memory and an optional logo is read locally.

Does it generate PO numbers automatically?

No. You enter the PO number because this session-only app keeps no numbering history.

What if I need a shipping or freight charge?

Add freight as a normal line item when it must affect the purchase-order total.
