BUSINESS DOCUMENT GUIDE

How to Create a Purchase Order

A purchase order is issued by the buyer to a vendor or supplier to communicate what the buyer wants to order, in what quantities, at what prices and under which relevant delivery or payment terms.

Identify the buyer and vendor

Put the buyer's business details on the document and identify the vendor or supplier expected to provide the goods or services.

Choose a PO number and order date

Use the numbering system your business actually follows. Purchase Order Generator does not maintain a hidden sequence or guarantee uniqueness.

Add delivery information

Use an expected delivery date, ship-to recipient/site, ship-to address and delivery instructions when they help the vendor fulfill the order.

Describe the ordered goods or services

Add an optional SKU, a clear description, quantity and unit price for each line. If freight must affect the total, enter it as its own line item.

Calculate subtotal, discount, tax and Purchase order total

The app rounds each line amount to the selected currency precision, adds the subtotal, applies the order-level discount, then calculates the optional tax percentage on the discounted subtotal.

Add payment terms and notes

Use plain language that reflects the actual commercial arrangement. The app does not determine procurement policy, contractual effect or acceptance.

Purchase order vs quote, invoice and receipt

A quote proposes pricing, a purchase order is the buyer's order, an invoice requests payment and a receipt records payment received.

Worked example

Twelve office notebooks at $8.50 plus three desk lamps at $24 produce a $174 subtotal. A 5% discount reduces that to $165.30. An 8.25% tax produces $13.64 after currency rounding, for a $178.94 Purchase order total.

Keep a copy

Use Print / Save as PDF before leaving the page. The app does not persist purchase-order history.
