How to Calculate Time Card Hours With Lunch and Overnight Shifts

Convert each punch to minutes, adjust an overnight Clock out into the next day, subtract the entered lunch interval, and add valid day totals into a weekly result.

Quick answer

For each worked day, calculate the elapsed minutes from Clock in to the adjusted Clock out, subtract the complete lunch interval you entered, and then add those worked minutes across the week. Decimal hours are the final weekly minutes divided by 60.

Use minute arithmetic

A 24-hour time can be represented as minutes after midnight. For example, 08:30 is 510 minutes and 17:00 is 1,020 minutes. The calculator keeps the worked-time calculation in integer minutes so minutes are never created or lost by floating-point hour arithmetic.

worked minutes = adjusted Clock out − Clock in − entered lunch minutes

Subtract lunch

When both lunch punches are entered, the lunch interval must sit inside the work span and have a positive duration. An 08:30–17:00 day with lunch from 12:30–13:00 has an 8h 30m elapsed span, minus 30 lunch minutes, for 8h 00m worked.

The calculator subtracts the interval you enter. Whether a particular meal or break is compensable depends on applicable law and facts; this app does not make that legal determination.

Handle overnight shifts

If Clock out is earlier than Clock in, treat Clock out as the next day by adding 1,440 minutes to its minute position. A 22:00 Clock in is 1,320 minutes; 06:00 becomes 1,800 minutes after the next-day adjustment, creating an 8-hour span.

For a 22:00–06:00 shift with lunch from 02:00–02:30, those lunch punches are placed after midnight on the same adjusted timeline. The result is 7h 30m.

Add the week

After every valid day has an exact worked-minute total, add them. Five days from 09:00–17:30 with a 12:00–12:30 lunch each produce eight worked hours, for 40h 00m in the week.

Hours and minutes vs. decimal hours

Decimal hours are minutes divided by 60. For example, 30 minutes is 0.50 hour, so 7h 30m is 7.50 decimal hours. It is not 7.30 hours. The calculator displays both representations so the distinction is visible.

Planning threshold vs. overtime

A planning threshold can split 42h 30m into 40h 00m up to the threshold and 2h 30m above it. That split is arithmetic only. It does not establish whether overtime law applies, which hours count, or what rate would be owed.

Common edge cases

  • A day with only one work punch is incomplete and is not silently counted.
  • A day with only one lunch punch is incomplete.
  • Lunch outside the work span is rejected.
  • Identical Clock in and Clock out are ambiguous without dates, so the calculator does not guess zero or 24 hours.
  • Blank days are ignored.
