How Time Card Calculator works

Use the calculator first. The sections below explain the inputs, worked examples, method, outputs, and limits.

How to use

  1. Choose a weekday tab.
  2. Enter clock in and clock out. Add both lunch punches when applicable.
  3. Repeat for the days you worked.
  4. Optionally enter a weekly threshold to split regular and above-threshold planning hours.
  5. Copy or export the weekly totals and day rows locally.

Worked examples

Five-day example

Five 8-hour days with a 30-minute lunch inside each 8.5-hour elapsed span produce 40h 00m worked time.

No lunch punches

A 09:00 to 17:00 day with no lunch punches produces 8h 00m.

Overnight shift

22:00 to 06:00 is treated as a next-day end and produces 8h 00m before any lunch subtraction.

Threshold split

A 42-hour week with a 40-hour planning threshold displays 40 regular-planning hours and 2 above-threshold hours.

Result reference

Worked time

Elapsed time from clock-in to clock-out minus an optional lunch interval.

Decimal hours

Total worked minutes divided by 60.

Planning threshold

A user-entered weekly threshold used only to split regular and above-threshold hours.

Overnight

A later-day clock-out is inferred when the end punch is earlier than the start punch.

FAQ

How does the time card handle lunch?

If both lunch punches are entered, lunch time is subtracted from the day's elapsed work span. If neither is entered, the day uses clock-in to clock-out.

Can a shift cross midnight?

Yes. A clock-out earlier than clock-in is treated as a next-day clock-out, as long as the punch sequence remains valid.

What if only one lunch punch is entered?

The day is marked incomplete until both lunch-out and lunch-in are provided or both are cleared.

Does this calculate payroll?

No. It totals worked time and can split hours above a user-defined threshold for planning only.

Is 40 hours automatically the overtime rule?

No. Forty hours is only an optional example threshold. Laws, contracts, and employer rules vary.

Can I leave days blank?

Yes. Blank days are ignored.

Why are identical clock-in and clock-out times rejected?

Without a date, identical times are ambiguous between zero hours and a 24-hour span, so the calculator does not guess.

What does decimal hours mean?

It converts total minutes to hours divided by 60, such as 7 hours 30 minutes = 7.5 hours.

Can I export the weekly rows?

Yes. CSV, JSON, Word, Markdown, text, and browser PDF workflows are available locally.

Are punches saved?

No. This tool does not persist time-card punches after the page is closed or cleared.

Method & limitations

Minute model

Punch times are converted to integer minutes. Later-day punches roll forward by 24 hours only when needed.

Lunch

Lunch is valid only when both lunch punches are present and fall inside the work span.

Threshold

The weekly threshold is arithmetic only and is not a labor-law determination.

Scope

No dates, taxes, pay rates, employer rules, or jurisdiction-specific rules are applied.

Boundary

Review employer records, agreements, and applicable rules before using these totals for payroll or compliance.
