How to Calculate Time Card Hours With Lunch and Overnight Shifts
A time card total starts with elapsed time between clock-in and clock-out, subtracts a complete lunch interval when present, and then adds the worked minutes across completed days.
The quick answer
To calculate time card hours, start with the elapsed time from clock-in to clock-out, subtract a complete lunch interval when one is entered, and then add the worked minutes across completed days. An overnight shift needs one extra step: when clock-out is earlier than clock-in, treat the clock-out as occurring on the next day.
Worked minutes = adjusted clock-out − clock-in − lunch minutes
Weekly worked minutes = sum of completed daily worked minutes
Decimal hours = weekly worked minutes ÷ 60
For an overnight shift, the current Mycelgrid Time Card Calculator moves the clock-out into the next day when it is earlier than the clock-in. In minute arithmetic, that means adding 1,440 minutes to the clock-out before subtracting the start time.
Calculate one day without lunch
For a same-day shift, subtract clock-in from clock-out.
Example: 09:00 to 17:00.
- 09:00 = 540 minutes after midnight.
- 17:00 = 1,020 minutes after midnight.
- 1,020 − 540 = 480 worked minutes.
- 480 ÷ 60 = 8.00 decimal hours, or 8h 00m.
If no lunch punches are entered, the calculator uses the full adjusted clock-in-to-clock-out span.
Subtract a lunch interval
When both lunch punches are entered, the calculator subtracts the lunch interval from the elapsed work span.
Example: 08:30 to 17:00, with lunch from 12:30 to 13:00.
- Elapsed shift: 8h 30m.
- Lunch: 30m.
- Worked time: 8h 00m.
Handle an overnight shift
A clock-out earlier than clock-in is treated as a next-day clock-out.
Example: 22:00 to 06:00.
- 22:00 = 1,320 minutes after midnight.
- 06:00 = 360 minutes after midnight.
- Because 360 is earlier than 1,320, the calculator adds 1,440 minutes to the end: 360 + 1,440 = 1,800.
- 1,800 − 1,320 = 480 minutes = 8h 00m.
The same next-day handling applies to lunch punches when needed. A 22:00 to 06:00 shift with lunch from 02:00 to 02:30 produces 7h 30m worked time.
Add the completed days into a weekly total
Each valid day contributes its worked minutes to the weekly total. Blank days are ignored.
The calculator’s example week uses five days from 08:30 to 17:00 with a 12:30 to 13:00 lunch. Each day contributes 8 hours, so the weekly result is 40h 00m or 40.00 decimal hours.

Convert hours and minutes to decimal hours
The Tool converts worked minutes to decimal hours by dividing by 60.
- 7h 30m = 450 minutes ÷ 60 = 7.50 hours.
- 8h 15m = 495 minutes ÷ 60 = 8.25 hours.
This is a numeric representation of the same worked duration. It is not a payroll rate or pay calculation.
What the optional weekly threshold does
The Time Card Calculator can split the weekly total around a user-entered planning threshold.
For a 42-hour week with a 40-hour threshold:
- regular-planning hours = 40.00 h;
- above-threshold hours = 2.00 h.
What happens with incomplete or ambiguous punches
The current Tool avoids several guesses that could change the result:
- A day with only clock-in or only clock-out is incomplete.
- A day with only one lunch punch is incomplete.
- Identical clock-in and clock-out times are rejected because, without a date, they are ambiguous between zero hours and a 24-hour span.
- A modeled work span longer than 24 hours is rejected.
- Lunch punches outside the modeled work span are rejected.
These boundaries keep the arithmetic tied to the punches that were actually entered.
What this time card calculation does not include
The current calculator totals punch-based worked time. It does not apply:
- calendar dates;
- pay rates;
- payroll taxes;
- employer rounding policies;
- labor-law or jurisdiction-specific overtime rules;
- contract or employer eligibility rules.
It also does not persist the punches after the page is cleared or closed. Review the original time record, employer records, agreements, and applicable rules before using a total for payroll or compliance.
